HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:
Tracks and monitors taskings and processing status workflow. Follows up to ensure appointments are filled both in advance and on short notice; confirm appointments to minimize loss of productivity and back fills cancellations on short notice as required. Is a member of a small support team (approximately 12) servicing a large production oriented employment processing operation

The core responsibility of this Administrative Assistant III requirement is to schedule appointments
The candidate will function with a high degree of autonomy
Interactions are transactional in nature, but do require a high degree of discretion, sound reasoning, strategic thinking, and flexibility
Will have direct contact with customers and stakeholders; must present an efficient, polite, and professional demeanor with a customer service orientation
Resources ( available appointments) are shared with teammates; a corporate, mission orientated, team mindset is key
Engages with individuals of all levels of seniority and from diverse backgrounds
Effective verbal and written communication is required; the ability to effectively communicate needs and requirements in both directions is necessary on a one-on-one, small team basis
Ability to use Outlook, Microsoft Office, telephone, instant messaging, and customer specific applications
Customer will provide training on internal applications
Professional, polite demeanor, and discretion are important and required
The ability to interact and communicate effectively and professionally, both written and verbal, with individuals from all levels of seniority including very senior levels is required; and experience doing so is desired
The AA will schedule daily appointments with office visitors
The number scheduled each day varies depending on requirements
Some visitors may require access approval; some may require reasonable accommodations
Reasonable accommodation requirements are reported to, and coordinated with, office management
End to end task management
There is a finite amount of the appointment slots and the slots are shared among the schedulers
The schedulers must coordinate to strategically use these slots based on priorities, availability, and mission requirements
When slot availability is limited, slot usage should be deliberate and strategic, vice simply plugging in a name
There are priorities, availability, and mission requirements that must be calculated when scheduling appointments when slots are limited
Candidate will directly track actions and tasks, prioritize, manage, and complete
Provide metrics on volume of actions/tasks and status
No requirement to oversee tasks completed by others
Self-directed quality control as needed to ensure 100% task completion
No quality control requirement for others
No requirement to coordinate special functions
No requirement to manage conference rooms
Non-traditional calendar management
Candidate will manage and fill appointments tasked by customer
WHAT YOU'LL NEED TO SUCCEED:
The position requires an active Top Secret/SCI with Polygraph security clearance
The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience
Core hours 8am - 3 p
Candidate must be able to operate in a team environment as well as successfully work on their own
This position is on customer site

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
