POSITION OVERVIEW Hours: 7:30am -4pm, Mon - Fri This position is primarily responsible for fulfilling the day to day activities required of the front desk by personally performing the following duties with a focus on maintaining positive relationships with parents, students, and staff.
ESSENTIAL FUNCTIONS Note: The essential functions below describe the general requirements of this position and are not intended to be an exhaustive statement of duties. Specific tasks, responsibilities or competencies may be documented in the incumbent's performance objectives as outlined by the incumbent's immediate supervisor or manager.
- Positively and proactively screen telephone calls by answering questions or providing information regarding office/school policies or procedures
- Positively and proactively greet visitors upon entry and screen though security system to ensure legal access to student/campus
- Maintain positive interactions with students, assist with signing in/out as needed, and research data in systems (Eleyo, Titan, and SchoolMint)
- Support administrator with event preparation by placing orders in a timely manner, scheduling, communicating, creating materials for ceremonies, etc.
- Manage incoming and outgoing correspondence through different applications (marquee, campus event calendar, social media, and email)
- Manage, place, distribute, and reconcile all campus orders in a timely manner
- Maintain purchasing card receipts to perform a monthly reconciliation in Workday
- Complete accounting duties with fidelity and ensure deposits are on time and accurate
- May compose, edit, type, duplicate and proof correspondence, reports and other confidential documents; research and verify information for reports and special projects.
- Makes arrangements for meetings, conferences, student photos, student assemblies, etc.
- Maintains accurate office records, including, but not limited to, volunteers, key contracts, walker sheets, sub rosters/folders, etc.
- When applicable, schedule substitute teachers prior to absences and reconcile data weekly in AESOP and Workday
- Covering duties as needed for any staff that are absent as request by administrator
- Performs other related duties as required by administrator
KNOWLEDGE, SKILLS, & ABILITIES Education, Licensure, or Certification - High School diploma or equivalent
Work Experience or Related Experience - Two or more years' experience in a school or clerical field
Specialized Knowledge, Skills & Abilities: - Positively interact with all staff, students, and parents
- Maintain a safe and welcoming front office environment by following Legacy policies
- Excellent verbal and written communication skills with students, peers, administration, and parents
- Positively and proactively collaborate with all school staff and Vertex employees
- Maintain a professional appearance
- Must possess strong communication and organizational skills
- Must demonstrate initiative and the ability to handle multiple tasks simultaneously
- Strong computer skills including Google Suite
